HR Administrator
Location: Walton-on-Thames
Hours: 40 hours per week, flexible

Role Overview
As an HR Administrator at Clubland Playscheme, you’ll play a key role in supporting our mission by developing and implementing effective recruitment and retention strategies for our childcare teams. You’ll collaborate closely with another HR Administrator to enhance processes across recruitment, onboarding, training, and staff rewards. Additionally, you’ll coordinate and manage our monthly staff rota with input from team members across the organization.
Key Responsibilities
Administration
- Candidate Support: Be the first point of contact for prospective staff, guiding them through recruitment, onboarding, and induction.
- Resignations: Manage processes around resignations, from acceptance and exit interviews to system access removal.
- Payroll & Queries: Process timesheets, support payroll, and address staff questions around pay, work schedules, training, and more.
- Training Coordination: Organize and book required training sessions for staff, maintaining certification records.
- Rota Management: Contribute to monthly rota development, including late cover arrangements.
- Event Planning: Coordinate the social calendar, arranging team events and enhancing team spirit.
- System Management: Maintain online and offline HR filing systems, working to improve efficiencies within HR functions.
- Budget Tracking: Manage HR-related budgets and report on expenditure.
Recruitment & Retention Strategy
- Process Improvement: Continuously refine recruitment approaches, from role marketing and application processes to candidate support.
- Onboarding & Induction: Develop and oversee a comprehensive onboarding process, ensuring smooth role integration for new hires.
- Probation Management: Implement an effective probation scheme, coordinating with management to support new starters.
- Staff Development: Work with the Regional Manager to roll out a training package that promotes ongoing skill and knowledge development.
- Rewards & Recognition: Enhance our benefits and recognition programs, focusing on staff morale, retention, and strong team relationships.
Compliance & Safeguarding
- Disciplinary Action: Ensure any disciplinary actions are handled per guidance from our outsourced Employment Law Team.
- Policy Adherence: Maintain compliance with current legislation, safeguarding protocols, and Ofsted requirements.
Team Collaboration
- Cross-Team Support: Collaborate with the HR Administrator, Regional Manager, and onsite managers to support staff across all locations.
- Stakeholder Relationships: Build positive connections with staff, parents/carers, and partner schools to support Clubland’s objectives.
Holiday Club Assistance
- Event Support: Assist with Holiday Club operations, from planning and marketing to set-up, management, and evaluation.

Preferred Qualifications
- Degree or equivalent experience in a related field (desirable).
Knowledge
- Essential: Microsoft Office Suite proficiency (Word, Excel, Outlook, etc.).
- Desirable: Familiarity with Ofsted, Data Protection/GDPR, Childcare Act 2006, and Employment Law.
